Video Source Archives: A Handover Checklist for Egyptian Teams

Accept a video archive only when the receiving team can locate the approved edit, identify its dependencies and understand the permitted reuse of each asset. A final exported video is useful for publishing, but it is not the same as an editable source archive. Egyptian marketing teams should define that distinction before closing a production engagement.

Accept a video archive only when the receiving team can locate the approved edit, identify its dependencies and understand the permitted reuse of each asset. A final exported video is useful for publishing, but it is not the same as an editable source archive. Egyptian marketing teams should define that distinction before closing a production engagement.

Agree on the archive’s purpose

State whether the handover supports future editing, language adaptation, approved re-export or reference only. Connect the required files to that purpose and to the agreed engagement scope. Do not assume ownership of every source file or transferable rights to every asset merely because the final video was delivered.

Assign a receiving owner with access to suitable software and storage. Record who will answer missing-file questions and how acceptance will be documented. Keep the final export and source archive as separate acceptance items, so an approved public video does not conceal an incomplete editable package.

Inventory dependencies before copying

List the project file, selected sequences, original footage, audio, graphics, captions and required external dependencies. Record software versions and any plugins or fonts needed to reproduce the approved appearance. Include a manifest that explains folder structure and links each deliverable to the relevant sequence or source.

Adobe’s Premiere documentation describes Project Manager’s option to collect and copy footage used in selected sequences. The selected sequences and collection options matter. A successful copy operation is not proof that every component needed for your particular future edit has been included.

Separate technical access from reuse permission

Keep provenance and license records beside the asset manifest. Identify the source, rights holder or supplier, permitted use and any known restrictions that the business has verified. Mark uncertain rights for clarification rather than assuming that possession of a media file establishes permission to use it in another campaign.

For bilingual work, retain approved scripts and caption files with language and revision labels. Identify whether text is editable or embedded in a finished export. Keep the approved product names and pronunciation notes where they are part of the handover. Do not silently substitute a new translation during an archive transfer.

Test the received package independently

Open the copied project from its delivered location on the receiving setup. Check for missing media, substituted fonts, unavailable effects and incorrect paths. Review the approved sequences against the reference exports. Test the portions that depend on external assets rather than relying only on the opening frame.

Record discrepancies with the affected file, visible consequence and proposed resolution. Keep the original delivered package intact while investigating. If a dependency cannot be transferred, ask the production owner to document an agreed alternative and its limitations; do not call the archive fully editable when it is not.

Make retrieval and retention manageable

Use stable project and revision identifiers instead of ambiguous final-file names. Keep approved exports, editable materials and superseded versions distinguishable. Assign access according to the team’s responsibilities and record the storage owner. Choose retention and backup arrangements based on the organization’s actual policy and rights, not an invented universal duration.

Close the handover with a signed-off manifest or equivalent recorded acceptance, known limitations and a route for future questions. Measure whether required assets can be retrieved and opened when needed. Archive quality is demonstrated by usable, authorized materials, not by the size of the folder or the number of files copied.
